Policies and controls

Terms and settings

These sections explain how ExhibitStay handles privacy, accessibility, business-travel terms, and user preference controls across the website.

Privacy Notice

ExhibitStay stores only the operational information needed to run searches, prepare booking requests, collect company details, handle invoices, and review payment confirmations. Contact information captured during a booking is used for that travel request and related support.

  • Company and traveller details are collected to process business-travel requests.
  • Payment proof uploads are used for finance verification and audit follow-up.
  • Operational analytics may include country, session activity, and booking status history.

Terms of Service

Availability, rates, and booking conditions depend on the supplier data returned for the dates, occupancy, and property selected. A pending booking request is not final confirmation until payment is accepted and the reservation workflow is completed by the support team.

  • Rates can change until a booking is fully processed.
  • Corporate-only flows require valid company details and approved payment method use.
  • Hotel or route options remain subject to supplier availability and event-driven demand.

Accessibility Statement

ExhibitStay aims to keep booking, payment, and support journeys usable across desktop and mobile devices with readable content structure, keyboard-friendly controls, and clear contrast between major interface elements.

  • Forms should remain readable and navigable on mobile and desktop.
  • Support channels are available if a traveller needs help completing a booking step.
  • Accessibility feedback can be routed through the contact page.

Dispute resolution

If there is a dispute about payment, invoice terms, or booking handling, the first step is always a structured review using the booking ID, invoice reference, and any payment proof or supporting correspondence.

  • Keep copies of invoices, transfer confirmations, and support emails.
  • State the issue clearly with dates, amount, and reference numbers.
  • Corporate bookings should be escalated by an authorized company contact where possible.

Modern Slavery Statement

ExhibitStay expects suppliers, service partners, and contractors to operate lawfully and with respect for labour rights, worker dignity, and safe working practices across the travel supply chain.

  • Supplier relationships should be reviewed with compliance and ethics in mind.
  • Concerns can be raised through the corporate contact route.
  • Risk areas are treated seriously where cross-border operations are involved.

Human Rights Statement

We expect business operations, supplier relationships, and support practices to respect fundamental human rights, non-discrimination principles, and the safe treatment of travellers, employees, and partners.

  • Respectful treatment and fair access are central to service delivery.
  • Reported concerns should be reviewed promptly and responsibly.
  • Business-travel support should never compromise dignity, safety, or lawful rights.

Manage personalized recommendations

Recommendations may use destination interest, route context, and operational signals such as selected currency or booking stage. Those recommendations should remain relevant to the traveller without obscuring the practical details of availability or payment.

  • Recommendations should support, not replace, transparent price and booking information.
  • Preference changes can reduce or reshape recommendation signals.
  • Contact support if a recommendation setting needs manual review.
